Sounds like a standard run of the mill analysis: I'd suggest having the usual process analysis, system flowcharts and data flow diagrams. This would be leading to a database, so then you'd define the data requirements, using an Entity Relationship diagram, validation etc. There'd also be a section on the overall process: analysing current practice, how that'd translate to your system, and implementation of it in the real world.
